Job description:

Looking for a varied, exciting and challenging job? 

We are looking for an experienced ‘have a go at anything’ person. You will be working for an entrepreneur in the IT area and will need to be able to handle everything from basic Administration work to high level appointment making.

In the first instance you will also be managing the setup of the offices, phone system, ordering infrastructure and managing the setup of the business on the Peninsula.

You must be highly computer literate and have advanced skills in MS Office. You must have the confidence to be able to deal with orders, basic accounting, troubleshooting, sales, marketing, organising/negotiating with suppliers and decision making – you name it, you will be involved.

This exciting position is varied and enjoyable. You will be self motivated, extremely organised, efficient and be able to work under pressure on your own initiative in a small team. Preference given to experience in the IT business and using Peachtree Accounts.

Role and responsibilities:

The purpose of the job is to organize, develop and manage a small office.

• All normal Exec. P.A. duties for the CEO
• Determine importance of meeting request/calls and schedule accordingly
• Responsible for creating a follow-up system on all outstanding scheduling and miscellaneous issues
• Receive and distribute presentations/materials for meetings/conference calls
• Coordinate travel arrangements and accommodations (flight, hotel, car service); create comprehensive and detailed itineraries
• Act as liaison with other departments and outside agencies, including high-level executives.
• Handle confidential information and explain procedures when necessary
• Data gathering for sales and marketing team
• Sending (e)mail-shots daily
• Booking orders and updating accounts
• Manage suppliers and all office admin tasks
• Work with sales, marketing and technical team to offer excellent customer service and backup
• Telephone answering and query handling

Skills & Experience:

• Proven track record with secretarial qualifications
• Self starter – able to work in a small team with minimal supervision
• 5 years+ experience in a similar role
• Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
• Must be able to interact and communicate with individuals at all levels of the organization including, senior executives, Board members, etc.
• Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (Outlook, Word, PowerPoint, Excel.)
• Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast paced environment with demonstrated ability to juggle multiple competing tasks and demands.
